Volunteer Slots

In order to ensure our performances run smoothly, we rely on parent volunteers to fill important roles.  Each family is responsible for working eight (8) volunteer slots per dancer.

There are positions available backstage, in the dressing room area and in the lobby.  Only volunteers who are signed up are allowed in the dressing room areas and backstage during each particular show.  If you want to be with your child during your volunteer slot(s), be sure to sign up in the dressing room area.

There are also plenty of ways you can help outside of those listed.  We especially need people to fill the 'Coordinator' positions.  Please contact Tara if you are interested in providing additional help.

For all positions, it is important that you arrive at the scheduled time as listed on Sign Up Genius and do not leave until your shift is over.  Also, you should always stay at your assigned post.  If you need to step away, you must have another ACB volunteer cover your position.

VOLUNTEER POSITION DESCRIPTIONS

Concessions
Concessions Coordinator
  • Plan 'menu' and prepare shopping lists.  (In some cases, purchase needed items and submit receipts for reimbursement.  Must be arranged ahead of time.)
  • Make sure we have needed supplies - cookie bags, ice, etc.
  • Maintain adequate amount of food and drinks for performances.  Restock items as needed.
  • Coordinate cookie acquisition (fancy sugar cookies to sell, etc.)
  • Pack items in storage bins to take to the theater.
  • Set up tables – tablecloths, platters, etc.
  • Launder tablecloths as needed throughout the performances.
  • Clean Concession area and kitchen after each performance, including sweeping.  Properly store concessions items at the end of each day.
  • Take down tables on Friday and Sunday nights. Can stay out Saturday nights.
  • Pack items in storage bins to return to the studio at the end of the run.

Concessions Sales
  • Ice down drinks prior to each show.
  • Make coffee and wrap cookies as needed.
  • Sell refreshments before, during and after the show.
  • Store concessions and clean up kitchen after each performance.
  • Communicate with the Concessions Coordinator if you are running low on items.

Market
Market Coordinator
  • Assist in acquiring items for the market.
  • Price items.
  • Pack items in storage bins to take to the theater.
  • Prepare tables prior to every show.
  • Restock items as needed.
  • Launder tablecloths as needed throughout the performances.
  • Clean Market area after each performance, including sweeping.  Properly store market items at the end of each day.
  • Take down tables on Friday and Sunday nights. Can stay out Saturday nights.
  • Pack items in storage bins to return to the studio at the end of the run.

Market Sales
  • Sell Market items before, during and after each show.
  • Help set up and restock as needed.
  • Leave the market clean and organized for the next show.
  • Communicate with the Market Coordinator regarding inventory at the end of each shift.

Roses
Rose Coordinator
  • Coordinate pre-orders.  Sort orders by show.
  • Purchase and transport roses, baby’s breath and greenery, gift tags, ribbons and tissue paper.
  • Oversee ‘Rose Prep.’
  • Set up area each day and clean up at the end of each day.

Rose Prep
  • Strip thorns, cut stems, fill water tubes.
  • Cut ribbons, hole punch gift cards.

Rose Sales
  • Help set up and and leave the flower sales area in good condition for the next show (including sweeping the area as needed.)
  • Sell roses before, during and after the shows.
  • Wrap bouquets in tissue and attach gift cards with ribbon.
  • Prepare and deliver pre ordered bouquets to dancers at the designated time.

House Manager
  • Over see all public areas of the theater, ensuring that the experience of each patron is enjoyable and safe.
  • Prepare seating in the theater as determined by director.
  • Communicate with director regarding opening the house (if doors should be held due to traffic, parking issues, etc.)
  • Alert guests in the lobby when the production is about to begin.
  • Watch for guests (in wheelchairs or with other special needs) who may need to be seated before regular seating.
  • Provide usher-type services for guests who arrive after the performance begins.
  • Maintain a quiet atmosphere in the theater during the performance.
  • Ensure that audience members do not take photographs or videos during the performance.
  • Make sure the curtain at the entrance of the theater remains closed during the performance to prevent outside light from entering.
  • Maintain the appearance of lobby and auditorium areas.
  • Ensure theater is cleaned up after each show according to DAC requirements.
Programs, Information and Theater Clean Up
  • Collect tickets and distribute programs at the theater door.
  • Watch for guests (in wheelchairs or with other special needs) who may need to be seated before regular seating.
  • Provide usher-type services for guests who arrive after the performance begins.
  • Make sure the curtain at the entrance of the theater remains closed during the performance to prevent outside light from entering.
  • Maintain a quiet atmosphere in the theater during the performance.
  • Ensure that audience members do not take photographs or videos during the performance.
  • Clean up the theater after each show.  Dispose of trash left behind by patrons, collect reusable programs, sweep or vacuum as needed.

Saturday Lunch
Lunch Coordinator
  • Coordinates lunch for cast and crew between Saturday shows. Includes budgeting (and getting approval), purchasing, advanced preparation and transportation of food and supplies as needed.
  • Directs food preparation, table set up and clean up.

Lunch Assistants
  • Assist with food preparation, table set up and clean up as needed.

Shopper
  • Shops for food and supplies for the lunch buffet and for Sponsorship Show.  Must be done on the Thursday/Friday before the Saturday lunches and on or before the Sponsorship Show on Thursday, 12/15/16.

Ticket Sales
  • Sell tickets on location before, during and after the shows.
  • Handles will call.
Floater
  • Will be assigned to a volunteer position as determined by the Volunteer Coordinator.

Wardrobe
Wardrobe Mistress
  • Handles all aspects of wardrobe including labeling costumes, making sure all the pieces are together, making sure all pieces are clean and in good repair.

Seamstress
  • Constructs and sews costumes as needed.
  • Makes repairs and adjustments to costumes as needed.

Wardrobe Assistant

  • Assist Wardrobe Coordinator as needed.
  • Make sure costumes are clean, complete and in the correct dressing room before and after each performance.
  • Remove racks from dressing rooms / place in proper rooms. Return all costumes and lock dressing rooms at end of performances.

Backstage Volunteers
Stage Manager
  • Coordinates with the Director.
  • Reviews cue sheet and changes made to the order of the performance, set, duties, etc. daily.
  • Arrives at the theater early.
  • Plugs in headsets.
  • Places sets and props.
  • Oversees see preparation and disassembly.
  • Directs backstage volunteers.
  • Maintains order backstage.
  • Communicates with the Backstage Coordinator.

Backstage Coordinator
  • Handles all communication between Stage Manager and Dressing Room Attendants.
  • Ensures that dancers are ready at their cue. Accompanies dancers back stage and makes sure they return to their dressing room after each performance.
  • Helps in any other way needed backstage – quick changes, hanging up costumes, etc.
  • Makes sure dressing areas are clean at the end of each shift.

Dressing Room Attendant
  • Keeps dancers entertained and quiet during performances.
  • Makes sure dancers remain in their dressing room when not on stage or lining up.
  • Helps dancers with costume changes, hair and make-up.
  • Makes sure dancers are aware of and know their cue for being ready for the stage.
  • Helps dancers hang their costumes on the correct hanger.
  • Informs the Wardrobe Mistress of any needed costume maintenence.
  • Inventory all costumes after each performance.
  • Makes sure Emergency Kits are properly supplied.
  • Makes sure dressing rooms are spotless at the end of each performance / day according to the DAC requirements.
Hall Monitor
  • MUST remain at the hallway entrance during the entire time slot.
  • Checks in all dancers and volunteers.
  • Alerts the Backstage Coordinator if a dancer is not in the theater by call time.
  • Ensures the safety of our dancers by monitoring entering and exiting of the backstage area by dancers, parents, volunteers, guests, etc. at all times.
  • Assists with costume changes as needed.
  • Ensures that common dressing areas hall are clean at the end of each shift.
